Your retreat planning toolkit

Corporate retreat sample agenda

A practical run of show, with the logistics built into every step.

A sample agenda your local planner would build around: two days and one night at a venue that has meeting rooms and dining on site. Each item notes what has to be booked or confirmed for it to run on time. Shift the times to fit your travel, and download the template to fill in your own.

Day 01

Arrive, open, dinner

  1. Group transfer departs

The pickup point, vehicle size and luggage space are confirmed. Late arrivals get a second pickup or a booked car.

  2. Arrival & coffee

Bags go into luggage storage if rooms aren't ready. Coffee is set up in the meeting room.

  3. Lunch

Served close to the meeting room. The kitchen has the dietary list and labels allergens.

  4. Opening session

Plenary room set the day before, with screen, sound and Wi-Fi tested in that room.

  5. Check-in & break

Room keys handed out by the planner from the rooming list, so nobody waits in line at the front desk.

  6. Breakout sessions

Breakout rooms booked nearby, with clear signs. Snacks and water refreshed.

  7. Group dinner

A private or reserved dining space, with the guarantee count sent by the contract deadline and a non-alcoholic option on the drinks plan.

  8. Open evening

The planner confirms in advance what's open late, such as the bar, lounge or kitchen, and shares it in the attendee note.

Day 02

Work, wrap up, depart

  1. Breakfast window

A breakfast window, not one fixed sitting. It suits early risers and people taking calls.

  2. Main working session

The plenary room is held all morning, with no turnover in the middle.

  3. Checkout & break

Late checkout or luggage storage is agreed ahead of time, so checkout doesn't cut into the session.

  4. Closing session

Back in the plenary room, which stays held until departure.

  5. Lunch

A shorter lunch, timed to the departure run.

  6. Departures

Vehicles leave in waves timed to flights and trains, with a buffer for traffic.
