The best corporate retreat planning companies in the US (2026)

Corporate retreat planning companies come in four kinds: local planners and DMCs based in the destination, full-service agencies, platforms with planners attached, and booking tools. Vantly matches US teams with a local planner who designs a tailor-made retreat anywhere in the country, starting with a free initial proposal within 48 hours. For large budgets, Moniker Partners and The Offsite Co. publish budget floors; for a published planning fee, Meet&Retreat, Retreat or Pilot; for a venue catalog, Offsite.com or TeamOut (pricing on request / custom). Every fact links to the company's own pages, last checked Oct 2026.

What changed, 19 Oct 2026: Navan has acquired BoomPop, NextRetreat now lists a single fee of €49 per attendee (last checked Oct 2026), and we re-checked every price and quote on this page against each company's own site.

Vantly publishes this page and lists itself first. Every other entry relies on the company's own public pages, linked and checked in October 2026.

A corporate retreat planning company takes on some or all of the work of a company retreat: choosing the destination and venue, negotiating with suppliers, building the agenda, arranging meals, activities and transport, and running the days on the ground. The companies below do very different parts of that job, so this page sorts them by what they are and how they charge before it ranks anything. If you are still deciding on the format itself, start with our guide to planning a corporate retreat.

Quick picks

  • A tailor-made retreat designed and run by a local planner who knows the destination, anywhere in the US: Vantly.
  • A large distributed team with a big budget: Moniker Partners or The Offsite Co., which both publish budget floors.
  • A distributed tech company of 100 to 1,000 people with a defined retreat goal: Flok.
  • A published planning fee before the first call: Meet&Retreat, Retreat, NextRetreat or Pilot.
  • A packaged trip at one per-person price: Offsiteio.
  • Browsing a venue catalog yourself: Offsite.com or TeamOut.
  • A nature-based retreat run by a dedicated outdoor team: Wilder Retreats.
  • Hotel rooms only, with the rest planned in-house: Engine or Marco Experiences.
  • Event procurement standardized across many events: Naboo or Cvent.
  • A facilitated team-building activity as the centerpiece: Legendary Team Building.

How we put this list together

We checked every company's own public pages on 19 October 2026 and recorded only what each one states about itself, with a link to the page that says it. The list is not a neutral ranking: Vantly is first because we publish it. After that, the companies named in the most other published comparisons come first, followed by the rest, ending with software platforms.

"Best" depends on your team size, your budget, the region you want to travel to and the format of the retreat, so instead of scoring companies, we applied the same evidence checklist to each one. For every company, we asked whether its public pages state the following, and marked each answer yes, partly or no:

  1. Service model: what the company is. It plans the event for you, gives you software, lists venues, or combines these.
  2. Published pricing: a planning fee or trip price on the company's own site.
  3. Group size: a minimum, a maximum or both.
  4. US coverage: named US regions, or a statement that it works across the US.
  5. On-site support: whether someone from the company is on the ground during the retreat.
  6. Lead time or proposal speed: how far ahead to book, or how fast a proposal arrives.

A "no" means we couldn't find it on the company's public pages on the date checked, not that the company doesn't offer it. Where a company publishes two different figures for the same thing, we either quote the one we could confirm or leave the figure out.

The short answer: four kinds of retreat planning company

Most companies on this list fit one of four models. Many local planners are DMCs (destination management companies), so those two overlap rather than compete; our guide to what a DMC is explains the term.

Retreat planners by US region

We built this table from two sources only: Vantly's own local planner listings, and destinations that other companies name on their own pages. Links in the Vantly column go to live area pages.

Surf Office lists a "USA and Canada" region, Legendary Team Building works "in cities nationwide", and Offsiteio lists 35 destinations across the Americas and beyond, without naming US regions on the pages we checked. The full Vantly directory is at local event planners.

1. Vantly: a local planner who designs your retreat, anywhere in the US

A narrow cobblestone lane runs between rows of red-brick townhouses with black shutters and glowing gas lanterns in Boston's Beacon Hill. Potted plants line the brick sidewalk, and leafy vines hang over the houses on the right.
Photo: Teju / Pexels

Vantly's promise is in one line on its homepage: "Get matched with an expert local planner who finds exceptional venues, coordinates every detail, and runs your event on the ground." The retreat is tailor-made rather than picked from a catalog. A local planner who knows the destination, its venues and its suppliers designs the program around your group, your dates and what the retreat needs to achieve, and then runs it on site. Formats range "from board meetings to company offsites to SKOs".

Coverage is national. In the homepage's words: "Anywhere in the US. Share your preferred destination, or tell us how far you want to travel. We'll confirm whether a suitable local planner is available before moving forward." The first step costs nothing: "Free, personalized initial proposal within 48 hours. No commitment." That proposal contains "suggested venues and photos, activity ideas, an outline agenda and a preliminary budget", and the final quote "explains event costs, planning fees, inclusions and exclusions". Our intent is one vendor, one PO for the event, rather than a separate contract and deposit for every vendor.

Behind the planners sits a set of live planning tools: billing, a shared agenda, attendee registration, an AI event builder, and multi-currency support, so customers pay in US dollars while local suppliers are paid in their own currency. Vantly's founders previously ran Okarito, a leading French travel agency (TMC), which Swile acquired in 2022 (Les Echos, 17 May 2022) and renamed Swile Travel (Swile).

How it works

  1. You share your team, your dates, a destination or a travel radius, and what the retreat needs to achieve.
  2. A local planner who knows the region sends a free initial proposal within 48 hours, with venues, activity ideas, an outline agenda and a preliminary budget, then tailors it with you.
  3. Once you approve the final quote, your planner coordinates the suppliers and runs the retreat on the ground.

To see the kind of retreats local planners shape, you can see sample events, which are examples a planner tailors to your group, or browse the local event planners directory.

  • What it is: plans the event for you, through a local planner, with planning tools.
  • How it charges for planning: planning fees are itemized in the final quote; no amount is published (last checked Oct 2026).
  • Best for: US teams that want a tailor-made retreat designed and run by a local planner who knows the destination, for any format and in any region.
  • Last checked Oct 2026: getvantly.com

2. Moniker Partners: high-touch retreats for large budgets

The Moniker Partners homepage shows the headline "Creative company retreats, planned from first idea to final transfer." over a darkened photo of a large group in matching dark T-shirts gathered on a lawn by the sea, under palm trees and thatched umbrellas. The headline sits on the left with a yellow proposal button, a circular video thumbnail is on the right, and three statistics run along the bottom.
Screenshot of www.monikerpartners.com, October 2026

Moniker Partners plans "high-touch corporate retreats, offsites, and incentive trips", and it is unusually direct about who it serves. Its homepage says it is "best suited for retreats starting at $250K+ (or roughly $3,000+ per person)" (last checked Oct 2026).

It is equally clear about what it turns down. Its corporate retreats page says: "We do not plan small team offsites, single-day events, nor health and wellness retreats." That makes it a fit for large, multi-day programs, and a poor match for a leadership team of eight.

3. TeamOut: a retreat platform with a venue network

The TeamOut homepage shows the headline "You got put in charge of the company event.", with the first words highlighted in orange, above event-type buttons, a work-email field and a rating line. On the right is a video thumbnail of a person in a dark sweatshirt in a bright office with a play button, and a row of customer logos and an "Our philosophy" heading sit below.
Screenshot of www.teamout.com, October 2026

TeamOut calls itself "The Retreat Platform" in its page title. Its pricing page describes a venue sourcing tier with "Access to a Network of 4000 Vetted Retreat Properties", and a separate retreat planning tier. Its packages page lists retreat packages in US destinations including Park City, Midway, New York City, Tarrytown, Waikiki, Honolulu and Charleston.

Pricing is on request / custom (last checked Oct 2026), so ask for a written quote that separates the planning fee from the trip cost. It suits teams that like to see venue options early and then hand the logistics to a planner.

4. The Offsite Co.: full-service retreats at a flat fee for large budgets

The Offsite Co. homepage shows the headline "EPIC COMPANY RETREATS" in large white capitals with a "Let's Work Together" button below it. Behind the text is a dim video frame of a person in a cap and glasses talking with others at an evening gathering under string lights, with a thin email bar and the navigation along the top.
Screenshot of www.theoffsiteco.com, October 2026

The Offsite Co. says it "specializes in designing, managing and executing company retreats and offsites with budgets of $300,000 or more" (last checked Oct 2026). It charges a "Full-Service Flat Fee" for planning, though the amount is not published.

Its homepage gives budget guidance for the trip itself: "about $750/night/employee + flights" (last checked Oct 2026). That number is the cost of the retreat, not the planning fee, and it is useful as a sense check before you set a ceiling.

  • What it is: plans the event for you (agency).
  • How it charges for planning: flat fee, amount not published (last checked Oct 2026).
  • Best for: companies running large multi-day retreats with budgets of $300,000 or more.
  • Last checked Oct 2026: theoffsiteco.com, theoffsiteco.com/company-retreats

5. Offsite.com: a venue marketplace with done-for-you planning

The Offsite homepage shows the headline "Save time, money, and stress when planning team retreats." on the left, with the first words picked out in coral, above two buttons. On the right is a photo of a large team posing outdoors on grass among tall trees, with a strip of customer logos and a "Create A Free Account Today" section below.
Screenshot of www.offsite.com, October 2026

Offsite.com offers two routes on its homepage: its "done for you" planning service, or you can browse yourself, in its words: "end-to-end offsite planning services or search our Airbnb-style marketplace". It lists "over 1,000 premier venues worldwide", and says that "Within 48 hours, you’ll receive detailed proposals".

Pricing is on request / custom (last checked Oct 2026). It suits a planner who wants to compare venues before deciding how much of the work to hand off.

  • What it is: lists venues, with done-for-you planning available.
  • How it charges for planning: pricing on request / custom (last checked Oct 2026).
  • Best for: browsing venues yourself, with an optional handoff to its planning team.
  • Last checked Oct 2026: offsite.com

6. BoomPop (acquired by Navan): an events platform with full-service planning

The BoomPop homepage shows the headline "Offsites & Retreats planned in minutes" on a black background, with a purple "BoomPop has joined Navan" banner above it. On the right, a product preview shows floating cards for San Francisco, a November 2026 calendar, hotels and a day-by-day plan around the words "In seconds", with a row of customer logos underneath.
Screenshot of boompop.com, October 2026

BoomPop's homepage offers "Full Service Event Planning" alongside an "Event Management Platform". In its press release of 9 September 2026, Navan "today announced it has acquired BoomPop", which it describes as "an AI-powered platform for meetings and events" (Navan press release).

Pricing is on request / custom (last checked Oct 2026); BoomPop's former pricing address now leads to its homepage. If your company already uses Navan for business travel, it is worth asking how BoomPop fits alongside it.

  • What it is: gives you software, with full-service planning available.
  • How it charges for planning: pricing on request / custom (last checked Oct 2026).
  • Best for: companies on Navan that want events handled by a platform with a service team.
  • Last checked Oct 2026: boompop.com, Navan press release via Yahoo Finance

7. Flok: strategy-first retreats for distributed tech teams

The Flok homepage shows the headline "A retreat that's worth it." over a softened photo of people with lanyards shaking hands and chatting at an event. A short paragraph and two buttons sit under the headline, a navigation bar runs across the top, and the start of a dark blue statistics band shows at the bottom.
Screenshot of www.flok.com, October 2026

Flok describes itself plainly: "Flok is a strategy-first corporate retreat planning company for remote and distributed tech teams." Its stated best fit is "Distributed tech companies of 100 to 1000".

Flok does not publish a planning fee. For the trip as a whole, it says to expect "A few thousand dollars per person all-in for a multi-day retreat" (last checked Oct 2026). Its process is strategy-first, so it helps to arrive with a clear goal for the retreat.

  • What it is: plans the event for you (agency).
  • How it charges for planning: not published; trip-cost guidance only (last checked Oct 2026).
  • Best for: distributed tech companies of 100 or more with a defined retreat goal.
  • Last checked Oct 2026: flok.com/strategic-company-retreats

8. Surf Office: an agency-run retreat with broad destination choice

The Surf Office homepage shows the headline "One-stop Shop for Incentive Trips" over a purple-tinted photo of smiling people at an evening event, with statistics for events, years and locations and a yellow "Get a quote" button. A gray top bar, a navigation row and a row of gray customer logos frame the hero, and a short paragraph about team sizes sits below.
Screenshot of www.surfoffice.com, October 2026

Surf Office presents itself as a "Team Offsite & Company Retreat Agency" and says: "We work across 200+ destinations". Its locations page includes a "USA and Canada" region. It plans for groups starting at 15 people; its homepage states two different upper limits, so we leave the maximum out.

Pricing is by quote (last checked Oct 2026): the homepage leads to a "Get a quote" form rather than a fee.

  • What it is: plans the event for you (agency).
  • How it charges for planning: quote on request (last checked Oct 2026).
  • Best for: an agency-run retreat with a wide choice of destinations, including outside the US.
  • Last checked Oct 2026: surfoffice.com, surfoffice.com/locations

9. Meet&Retreat: a flat planning fee and a planner on site

The Meet&Retreat homepage shows the headline "We plan offsites." in large lettering, with "offsites." in green, above a short paragraph and a "Get a proposal" button. The background is a sunset photo of hot-air balloons drifting over a rocky valley, with a simple navigation bar along the top.
Screenshot of www.meet-retreat.com, October 2026

Meet&Retreat is "A corporate retreat planning agency based in Chicago." It works with "Groups of 10 to 200, across the US and select destinations worldwide", and its US destinations include Chicago, Napa Valley, Scottsdale, Nashville, Austin, Kohler and New York. On staffing, it says: "We're on site for every trip."

It publishes its fee model clearly: "Planning with Meet&Retreat starts at $8,000." (last checked Oct 2026). It adds that "the planning fee is the only thing you pay us", and that "Your fee is set by the length of the program, group size, destination, and lead time".

  • What it is: plans the event for you (agency).
  • How it charges for planning: flat planning fee, from $8,000 (last checked Oct 2026).
  • Best for: groups of 10 to 200 that want a published planning fee and a planner on site.
  • Last checked Oct 2026: meet-retreat.com

10. Wilder Retreats: nature-based retreats run on site

The Wilder Retreats homepage shows the headline "Award-winning corporate retreats, customized for your team." centered over a photo of a group outdoors pulling a large sheet of brown paper in a parking area. A gold "Get a proposal" button, a strip of review stats and a row of customer logos sit below, followed by the heading "Stories from our transformative retreats".
Screenshot of discoverwilder.com, October 2026

Wilder Retreats designs "Nature-based offsites designed around your business goals, planned end to end and run onsite by the Wilder team". Its homepage names US and Canadian destinations including Sedona, the Blue Ridge Mountains, Vail, Jackson Hole, Yosemite National Park and Banff National Park.

Wilder does not publish prices (last checked Oct 2026); its homepage asks you to request a proposal. It fits a team whose retreat is built around time outdoors.

  • What it is: plans and runs the event for you (agency).
  • How it charges for planning: not published; by proposal (last checked Oct 2026).
  • Best for: outdoor and nature retreats in US mountain and national-park regions.
  • Last checked Oct 2026: discoverwilder.com

11. Offsiteio: a full-service trip at one per-person price

The Offsiteio homepage shows the headline "PLAN YOUR NEXT TEAM OFFSITE." in large black and outlined capitals, above a short paragraph, a red "Get a Free Proposal" button and a price line from about $999 per person. On the right is a stack of photos of people laughing around restaurant tables, labelled "Real Offsiteio offsite" and "Proposal in days".
Screenshot of www.offsiteio.com, October 2026

Offsiteio quotes the trip rather than a planning fee: "One upfront price from about $999 per person", with "flights quoted separately" (last checked Oct 2026). It lists "35 destinations and counting" across the Americas, Europe and beyond, and a 96-hour proposal turnaround.

On support, it offers "24/7 remote support on every trip, plus an optional on-site coordinator". Ask whether the coordinator is included in your price before you compare it with a planner who is on site by default.

  • What it is: plans the event for you, at a per-person trip price.
  • How it charges for planning: no separate planning fee shown; the trip from about $999 per person, flights extra (last checked Oct 2026).
  • Best for: teams that want the whole trip bundled into one upfront per-person figure.
  • Last checked Oct 2026: offsiteio.com

12. Retreat: a flat planning fee on top of free venue sourcing

The Retreat homepage shows the centered headline "Corporate Retreat Planning Made Easy" above a short description, a work-email field and a note about a free "Sparkling" proposal. A purple announcement bar runs across the top, and a carousel of team photos tagged with places such as Lisbon, Portugal and Santa Rosa, California fills the lower half.
Screenshot of www.planretreat.com, October 2026

Retreat (planretreat.com) sources venues for free; its pricing page explains that it earns commissions from hotels instead. It offers proposals from "over 800 hotels". For "more comprehensive planning services", it publishes a flat fee: "we charge $1,500 per offsite" (last checked Oct 2026). Its pricing page lists per-person and per-day add-ons, such as "$20 per person Flight Booking" and "$299 per day Onsite Concierge" (last checked Oct 2026).

On group size, its FAQ says: "We have no size limits! However, for smaller groups, we do require you to book a pre-designed offsite." On timing, "we recommend planning at least 4 - 6 months from your event date."

  • What it is: plans the event for you, with free venue sourcing.
  • How it charges for planning: $1,500 per offsite, plus per-person and per-day add-ons (last checked Oct 2026).
  • Best for: a published flat planning fee with a hotel network behind it.
  • Last checked Oct 2026: planretreat.com, planretreat.com/pricing

13. NextRetreat: a per-attendee fee for 20 to 500 people

The NextRetreat homepage shows the headline "Let's plan your perfect team retreat", with "team retreat" in blue, above three checklist points and two buttons. On the right, floating cards show availability dates, a venue price card and a three-day plan beside a photo of a large group under the northern lights, with customer logos below.
Screenshot of www.nextretreat.com, October 2026

NextRetreat's concierge service says: "We plan and organize your entire company retreat for 20–500 attendees". Its pricing page lists one fee, "€49 per attendee", with a "€50 deposit, deducted from your service fee" (last checked Oct 2026). It is priced in euros, and we have not converted it.

The fee covers planning only: "Accommodation, activities, and other trip costs are paid separately." On-site support is listed as optional.

  • How it charges for planning: €49 per attendee (last checked Oct 2026).

Pilot's retreat planning page shows the headline "Planning a retreat or group trip shouldn't cost so much time or money" on a white card, with a rating line, a short paragraph and a pink "Start My Retreat" button. Behind the card is a photo of a group walking toward a white shuttle bus below a mountain slope, set on a sunset-colored background.
Screenshot of www.pilotplans.com, October 2026

Pilot's retreat planning service lists "FREE Group-Rate Sourcing" for hotels. For full-service planning, its page reads: "Planning fee: $49 per person per night + any on-site staff if desired" (last checked Oct 2026). On-site staff are optional and start at $150 an hour, with an eight-hour daily minimum (last checked Oct 2026).

Two details matter for planning. All plans carry a 25% surcharge for retreats planned less than 45 days out, and Pilot notes that "group discounts only start to kick in at around 8+ attendees".

  • What it is: plans the event for you, with free group-rate sourcing.
  • How it charges for planning: $49 per person per night, plus optional on-site staff (last checked Oct 2026).
  • Best for: small-to-mid teams that want a low published planning fee and are happy to handle some of the work themselves.

15. Marco Experiences: fast hotel booking for team meetups

The Marco Experiences homepage shows the headline "Group hotel booking made fast + free." in bold white type on a black background, above a search box with Rooms and Dates buttons. Darkened hotel and venue photos sit in a grid behind the text, and a row of white customer logos runs across the lower part.
Screenshot of www.marcoexperiences.com, October 2026

Marco's homepage headline is "Group hotel booking made fast + free." It lists "4,000+ Expert-vetted hotels", and hotel booking is "Free 9+ guests" (last checked Oct 2026).

For more help, its full-service option is "From $175 / guest 26+ guests" (last checked Oct 2026), with "a dedicated Event Designer". It suits a hotel-based meetup more than a retreat built around a destination.

  • What it is: lists hotels to book, with full service available.
  • How it charges for planning: hotel booking free from 9 guests; full service from $175 per guest for 26 or more (last checked Oct 2026).
  • Best for: hotel-based team meetups that want instant booking.
  • Last checked Oct 2026: marcoexperiences.com

16. Legendary Team Building: retreats built around a facilitated activity

Legendary Team Building frames its service as "Corporate retreat planning, from the outcome backwards." It says: "We bring the retreat to the room you choose, in cities nationwide — from a leadership team to a full department."

Pricing is by proposal (last checked Oct 2026): "we'll come back with a proposal: a sample agenda built around your outcome, format options and transparent pricing." On timing, it says: "Six to eight weeks is comfortable for most single-location retreats; larger groups or peak-season venues want three months."

  • What it is: plans and facilitates the event for you.
  • How it charges for planning: by proposal (last checked Oct 2026).
  • Best for: retreats built around a facilitated team-building activity.

17. Naboo: event procurement software for large companies

The Naboo homepage shows the headline "One platform for every corporate event." on the left, with a green "Submit your brief" button and a "Book a demo" button. On the right is a warm photo of people chatting in a bright loft with large windows, overlaid with a sample advisor message listing three suggested venues for a 40-person offsite.
Screenshot of www.naboo.app, October 2026

Naboo describes itself as "an AI-powered corporate events (MICE) procurement platform" in its February 2026 press release. The same release announced a New York office, "Naboo’s new North American hub after Montreal", at 254 W 14th St.

Pricing is not published (last checked Oct 2026). It suits companies that buy many events and want one process for all of them, more than a team planning its first retreat.

  • What it is: gives you software (event procurement).
  • How it charges for planning: not published (last checked Oct 2026).
  • Best for: procurement teams that buy events at volume.
  • Last checked Oct 2026: Naboo press release, naboo.app New York office

18. Cvent: an enterprise event platform with a venue marketplace

The Cvent homepage shows the headline "EXPECT MORE WOW MOMENTS FROM YOUR EVENTS" in large white monospaced capitals over a dark photo of a smiling audience member. Green and outlined buttons sit on the right, a dark announcement bar and white navigation run across the top, and white customer logos fill the bottom.
Screenshot of www.cvent.com, October 2026

Cvent is an "Event Platform for In-person, Virtual, and Hybrid Events & Webinars", in its own title. Its homepage says: "Nearly 340,000 venues."

Pricing is not published on the homepage (last checked Oct 2026). For a single retreat it is a lot of platform, but if your company already runs events through Cvent, its sourcing tools are a sensible first stop.

  • What it is: gives you software and lists venues.
  • How it charges for planning: not published on the homepage (last checked Oct 2026).
  • Best for: a company that has standardized its events on Cvent.
  • Last checked Oct 2026: cvent.com

Not planners, but often compared

These names come up in the same searches, but none of them plans the retreat for you. Each is useful for one part of the job.

  • Engine: group hotel room blocks. "Engine is completely free for group coordinators." (last checked Oct 2026), and it handles "Group room blocks 9 to 9,000 rooms". Use it when you plan the retreat in-house and only need the travel booked. engine.com/groups
  • Tagvenue: "your trusted venue marketplace", which says "We list over 22K venues across six countries." Use it to book a single event space, such as a meeting room or a dinner venue, yourself. tagvenue.com
  • Offsiter: hotel-based offsite packages, with listed packages such as one "Starting From $802 per person" and one "From $5865 per person" for up to 10 guests (last checked Oct 2026). Use it for a classic hotel-based meeting. offsiter.com
  • Navan, "the global AI-powered business travel and expense platform": use it to book and manage business travel across the company, alongside whoever plans the retreat. navan.com

Local planners and DMCs: who is on the ground

A local planner lives and works in the destination, and many local planners are DMCs themselves. They design the event and run the delivery on the ground: transport, activities, local suppliers and on-site logistics. Because the same team designs and delivers, there is no extra partner between you and the people running your days.

The cost-stacking point applies only to an agency far from the destination that has to add a separate DMC to deliver locally. In that setup, you are paying for two planning teams, and every change passes through both. When you compare quotes, ask who will be on site and whether they belong to the company you are hiring or to a partner it brings in.

Vantly's directory lists local planners and DMCs by region, including DeSilva DMC in Maui, ACCENT New Orleans and GlobalWorks Events & Destination Management in Naples, Florida. For more on the model, read what a DMC is and how to brief a local event designer.

What retreat planning companies charge (only published numbers)

Two different numbers get called "price" in this market. The planning fee is what the company charges for its work. The trip cost is everything else: rooms, meals, meeting space, activities, transport and flights. Some companies publish one, some the other, and a few publish neither. The table keeps them apart and quotes each in the currency it is published in, with no averages and no conversions. Prices may change after the date checked, so confirm each figure in a written quote.

Questions to ask any planning company

Whichever company you shortlist, the same questions turn a sales call into a quote you can compare. Our guide to what to ask in a custom event quote goes through each one in detail.

  1. Who is on the ground on the day, for how many hours, and do they work for you or for a partner?
  2. Who holds the supplier contracts: you, the planning company, or each supplier directly?
  3. What does the planning fee cover, and what is excluded, such as flights, gratuities, service charges and AV?
  4. How are changes priced, whether to headcount, dates, menus or the agenda, once the plan is agreed?
  5. What are the room block's attrition and release dates? See our guide to hotel attrition and release dates.
  6. What are the deposit and cancellation steps for each venue? Our venue deposit and cancellation guide shows how to read them.
  7. How does the company earn its money: a flat fee, a per-person fee, a percentage of spend, or commissions from hotels?
  8. Which service charges, tips and resort fees will appear on the final bill? Our service charge, tip and resort fee glossary explains the terms.
  9. How much lead time does it need for your group size and dates?
  10. Can it share a sample itinerary for a group like yours?

How far ahead to book a retreat planner

Only a few companies publish lead times, and they are worth reading together. Retreat says: "we recommend planning at least 4 - 6 months from your event date." Meet&Retreat says: "Three to six months is comfortable for most corporate retreats and offsites, and larger groups or peak season dates benefit from more." It also offers rush planning for retreats as little as 30 days out.

Legendary Team Building puts it at six to eight weeks for most single-location retreats, and three months for larger groups or peak-season venues. Pilot adds a 25% surcharge to all plans for retreats planned less than 45 days out (last checked Oct 2026). Vantly's first step is a free initial proposal within 48 hours, which gives you a venue shortlist and a preliminary budget early. Our corporate retreat guide covers the rest of the timeline, and the offsite agenda template helps once dates are set.

Name check: four different "Offsite" companies

Offsite.com is a venue marketplace with done-for-you planning, and Offsiteio is a separate company that sells full-service trips at a per-person price. The Offsite Co. is a full-service agency for retreats with large budgets, and Offsiter sells hotel meeting packages; none of the four is related to the others, so check which one a review or price refers to.

Frequently asked questions

What does a corporate retreat planning company do?

It finds the destination and venue, negotiates with suppliers, builds the agenda, books meals, activities and transport, and, with full-service firms and local planners, runs the retreat on site. Booking tools such as Engine or Tagvenue cover only part of that job, so check which parts each company takes on before you compare prices.

What is the best corporate retreat planning company?

It depends on your team size, budget and region. Vantly, which publishes this list, matches US teams with a local planner who designs a tailor-made retreat anywhere in the country. Moniker Partners and The Offsite Co. publish budget floors of $250K+ and $300,000 or more, and Flok targets distributed tech companies of 100 to 1,000 (last checked Oct 2026).

What do corporate retreat planning companies charge for planning?

Published models vary. Retreat lists $1,500 per offsite, NextRetreat €49 per attendee, Pilot from $49 per attendee per night, and Meet&Retreat from $8,000 (all last checked Oct 2026). TeamOut, Offsite.com and BoomPop show pricing on request / custom, and agencies such as Moniker quote per project. The trip itself is a separate number; see our event planner fees guide.

What per-person trip prices do retreat companies publish?

Published examples include Offsiteio's trips from about $999 per person before flights, The Offsite Co.'s guidance of about $750 per night per employee plus flights, and Flok's guidance of a few thousand dollars per person all-in for a multi-day retreat (all last checked Oct 2026). Ask every company for an itemized quote, and see our corporate retreat cost guide.

What's the difference between a retreat planner, a platform and a DMC?

A planner or agency designs and runs the retreat. A platform gives you a venue catalog and software, sometimes with planners attached. A DMC is a destination management company based in the destination, and many local planners are DMCs, designing the event and running it on the ground. Our guide to what a DMC is explains more.

Do retreat planners work with small teams?

Some do and some don't. Meet&Retreat works with groups of 10 to 200, Marco books hotels for free from 9 guests, and Pilot's group discounts start at around 8 attendees, while Moniker says it does not plan small team offsites (last checked Oct 2026). Vantly's formats run from board meetings to company offsites, and each retreat is designed around the group it is for.

How far in advance should we hire a retreat planner?

Retreat recommends at least 4 to 6 months. Meet&Retreat says three to six months is comfortable for most retreats, with rush planning from 30 days out, and that larger groups and peak dates benefit from more time. Pilot adds a 25% surcharge for retreats planned less than 45 days out (last checked Oct 2026).

Will the planner be on site?

Ask before you sign. Meet&Retreat says it is on site for every trip, Wilder runs its retreats on site, Offsiteio offers an optional on-site coordinator, and Pilot charges for optional on-site staff from $150 an hour (last checked Oct 2026). Vantly's local planner runs your event on the ground, as set out in the agreed proposal.

Can one company plan a retreat anywhere in the US?

National platforms list set destinations or a venue network. Vantly matches you with a local planner in the region you choose, anywhere in the US, and confirms that a suitable planner is available before moving forward. Its directory lists planners from Maui and Lake Tahoe to Charleston and the Hudson Valley.

Are Offsite.com, Offsiteio, The Offsite Co. and Offsiter the same company?

No. They are four separate businesses with different models: Offsite.com is a venue marketplace with planning, Offsiteio sells full-service trips at a per-person price, The Offsite Co. is a full-service agency for large budgets, and Offsiter sells hotel meeting packages.

Is BoomPop still independent?

No. Navan announced on 9 September 2026 that it has acquired BoomPop, which it describes as an AI-powered platform for meetings and events. BoomPop's pricing is on request / custom (last checked Oct 2026), so ask BoomPop directly how its planning service now works alongside Navan.
